Manage users and roles

Show organization admins how to manage users and access settings.

This workflow is available to admins who can access their organization's admin settings.

Use the Users section in &AI when you need to control who can access your organization and what state their account is in. This is the workspace for inviting new teammates, reviewing whether someone is active, updating displayed user information, and removing or suspending access when responsibilities change.

Open the Users section

From the admin workspace, choose Users in the left-hand navigation. The page opens a user-management table for the current organization.

The table is designed for active administration rather than passive reporting. You can work with:

  • a user filter control

  • an export action

  • an add-user action

  • sortable columns such as Name, Email, Status, Created, and Active

  • per-user actions from the row menu

Depending on your permissions, you may also see organization-level settings elsewhere in admin tooling, such as your organization's name, domain, or billing-related details. Those settings affect how the organization behaves overall, so treat them as configuration changes rather than routine user-list actions.

Add a new user

To invite someone new:

  1. Open Users.

  2. Click the add-user button.

  3. Enter the person's First Name, Last Name, and Email.

  4. Decide whether to enable Make this user an admin.

  5. Submit the form.

The modal explains that the user will receive an email with instructions to log in.

When you submit the form, &AI creates the user in the organization and starts the invitation flow. If the email address already belongs to an existing user in the organization, the UI blocks the duplicate and shows an error instead of creating a second entry.

Seat requirements for new invitations

Adding a user is not only an identity-management step. It is also tied to seat availability.

In the current implementation, the add-user button can be disabled when there are no seats available for the organization. When that happens, the UI explains that more seats must be purchased before another user can be added.

The practical sequence is:

  1. Check whether the organization has seats available.

  2. Purchase more seats in the Billing section if needed.

  3. Return to Users and add the person once capacity exists.

If billing setup is incomplete, the page may behave differently until billing is resolved, but the general rule still applies: billing readiness and user onboarding are connected.

Review the user list

Each row in the table helps you answer a different access question:

  • Name shows the display name and supports inline editing.

  • Email identifies the user account.

  • Status tells you whether the account is active, disabled, waiting on email confirmation, or in an unusual sync state.

  • Created helps confirm when the account was added.

  • Active shows the last recorded activity timestamp when available.

You can sort the table by these columns to answer different operational questions. For example:

  • sort by Created to review recent invitations

  • sort by Active to identify dormant accounts

  • sort by Status to find people who still need to confirm email

The page also supports filtering by user, which is useful when the organization has a long list and you need to jump to a specific person quickly.

User account statuses

Different statuses lead to different next steps:

  • Active means the user is enabled and can work normally.

  • Disabled means the person remains in the org record, but access is turned off.

  • Confirm Email means the user has been created but has not completed the expected confirmation step.

Use these statuses to avoid deleting someone when a simpler fix is enough. For example, a person who should return later may only need reactivation, while a person who never completed onboarding may simply need invitation follow-up rather than account recreation.

Edit names, roles, and access state

The user-management table supports several direct actions.

Edit a user's name

Hover a user's name and use the inline edit control to update first and last name values. This is useful when the account exists but the display name needs cleanup for reporting or clarity.

Change a user's role

Where role controls are exposed, the product distinguishes between standard users, admins, and owner-level permissions. The page also enforces role-safety guardrails:

These protections prevent an admin from accidentally removing their own privileges or escalating access in ways the UI does not allow.

Deactivate, reactivate, or delete a user

Open the row action menu to manage account state.

  • Choose Deactivate when someone should temporarily lose access but remain part of the record.

  • Choose Reactivate when a previously disabled user needs access again.

  • Choose Delete when the person should be removed rather than merely suspended.

Because these actions are destructive at different levels, use deactivation when you want reversibility and deletion when you are sure the account should no longer be retained in the working user list.

Export user-management data

The Users section includes an export action. Use it when you need a shareable snapshot of the current user roster or want to review user-management data outside &AI.

This is especially useful for:

  • periodic access reviews

  • access audits

  • legal-ops or IT handoff

  • confirming who was active at a certain point in time

The export action is separate from the table itself, so you can filter the view first and then export a narrower working set if needed.

After you finish in the Users section, go to Manage billing, seats, and credits if you need to purchase seats before inviting more users, or review Usage to understand recent org activity.
